Event Policy

The following Terms of Use are entered into by and between You and Playroom Chronicles (“Company”, “we”, “our” or “us”).

The following terms and conditions, together with any documents they expressly incorporate by reference (collectively, these “Event Policy”), govern your access to and use of, including any content, functionality, and services offered on or through: PlayroomChronicles.com, PlayfulPlayroom.com, ToywiseParents.com, TidyToyTime.com, HoliPlaySummit.com, or any of its sub-sites or subdomains (the “Website”), whether as a guest or a registered user.

Please read the Event Policy carefully before you register, buy, opt-in, sign-up, access, attend or participate in an Event. By clicking to accept or agree to the Event Policy when this option is made available to you, you accept and agree to be bound and abide by this Event Policy and our SMS Policy, AI Policy, Terms of Use, Course/Class Policy, Disclaimers, and our Privacy Policy, incorporated herein by reference (Legal Policies). If you do not want to agree to this Event Policy or the related Legal Policies, including the agreements incorporated by reference herein, you must not access, buy, opt-in, sign-up, register, participate or attend an Event.

We offer events available to humans who are 18 years of age or older. By attending, accessing, participating, buying, signing up, or registering for an Event, you represent and warrant that you are of legal age to form a binding contract with the Company and meet all of the foregoing eligibility requirements. If you do not meet all of these requirements, you must not access, buy, opt-in, sign-up, register, participate or attend an Event. Otherwise, you agree to this Event Policy.

Age Restrictions & Child Safety

Events are for adults only (18+ years).

All participants must be 18 years or older
Children are NOT permitted to participate, observe, or be present during an Event
Event content is designed for adult learning and is not suitable for children
Children must not be visible or audible during any Events
Participants are responsible for ensuring a child-free environment during attendance

For your children’s privacy and safety, please ensure no minors appear on camera or can be heard during sessions. We reserve the right to remove participants who have children present without refund.

Recording Notice & Consent

By registering for an event, you acknowledge and agree that:

All event sessions will be recorded, including participant interactions
Your image, voice, and participation may appear in recordings
Recordings may be used for future event promotions, materials, or offerings
You waive any rights to compensation for use of your likeness
You grant Playroom Chronicles unlimited permission to use recordings containing your participation

Registration Options

Registration options and pricing vary by event. Specific pass types, benefits, and pricing will be clearly displayed on each event’s registration page.

Complimentary Pass (when available) includes access to virtual live and/or pre-recorded sessions during the event.

All Play Pass (when available) includes complimentary pass benefits plus additional premium content, extended access, bonuses, and exclusive resources as specified for each individual event.

Recording Usage & Content Protection

For All Participants: Event content is protected by copyright law. The following actions are strictly prohibited:

Recording, screenshots, or screen sharing of any event content
Using AI transcription services, bots, or automated tools to capture event content
Converting, reproducing, or distributing event materials in any format
Sharing login credentials or providing access to others

For All Play Pass Holders:

Recordings are for your personal use only
You may not share, distribute, resell, or transfer access to recordings
Creating derivative works from event content is prohibited

Violation of these terms will result in immediate termination of access without refund and may be subject to legal action for copyright infringement.

Account Security & Access Restrictions

Your event registration and login credentials are personal to you and may not be shared, transferred, or sold under any circumstances. Specifically:

You may not share your username, password, or access links with anyone
Each registration is valid for one individual only
You may not allow others to access event content using your credentials
You may not create multiple accounts or register under false names
You are responsible for maintaining the confidentiality of your login information

Consequences of Violations: Any attempt to share access, distribute login credentials, or allow unauthorized access will result in:

Immediate and permanent termination of your account and access
No refund of any fees paid
Potential legal action for breach of contract and copyright infringement
Liability for any damages caused by your unauthorized sharing

We actively monitor for unauthorized access and credential sharing. If we detect suspicious activity, we reserve the right to lock your account and investigate before restoring access.

Pass Purchase Terms

Payment & Refunds: All paid pass sales are final. No refunds will be issued after purchase unless otherwise specified for a particular event.

Digital Delivery: Some pass benefits are delivered digitally. You are responsible for downloading and saving any materials you wish to keep beyond the specified access period. We are not responsible for materials you fail to access or download during your access window.

Access Duration: The duration of access to recordings, resources, and bonus materials varies by event and pass type. Specific access periods will be clearly communicated at the time of purchase.

Discount Codes: Event-exclusive discount codes are non-transferable, for your personal use only, and subject to individual speaker terms and expiration dates.

HoliPlay Summit Specific Terms

The following terms apply specifically to the HoliPlay Summit:

All Play Pass Benefits for HoliPlay Summit include:

Access to event video recordings until October 1st of the following year (or until next HoliPlay Summit, whichever comes first)
Podcast feed versions of all sessions for on-the-go listening for six months after the first day of the HoliPlay Summit.
Written transcripts of all event sessions
HoliPlay Printable Planner
Access to ToyScout GPT
One-year subscription to the Play Insider
All Play Pass-exclusive discount codes from speakers and sponsors

Promotional Codes & Discount Usage

Personal Use Only: Promotional codes, discount codes, and special offers for events are for your personal use only and may not be shared with anyone under any circumstances.

Prohibited Activities: The following actions are strictly prohibited and constitute a violation of this Event Policy:

Sharing promotional codes with anyone, including friends, family, or colleagues
Posting promotional codes on coupon websites, deal aggregator sites, or discount platforms (including but not limited to RetailMeNot, Honey, DealSpotr, WeThrift, Slickdeals, or similar sites)
Posting codes or event links on social media (yours or others), groups, pages, forums, or any public platform
Distributing codes through email, text messages, direct messages, or any other communication method
Creating content that includes or promotes your discount codes
Using codes for purchases on behalf of others
Any sharing or distribution of codes in any format or through any medium

One-Time Personal Use: Each promotional code is assigned to you individually and is valid for one-time use by you only. Codes are not transferable and cannot be combined with other offers unless explicitly stated.

Consequences of Violations: If we discover you have shared or distributed promotional codes in any way:

Your registration will be immediately cancelled without refund
Any purchases made with improperly shared codes will be invalidated
You will be permanently banned from all future events
Any affiliate relationships or partnerships will be terminated
We reserve the right to pursue legal action for breach of contract and damages to our brand

We actively monitor for code sharing and unauthorized distribution.

All Play Pass Speaker & Sponsor Codes: All Play Pass-exclusive discount codes from speakers and sponsors are subject to these same restrictions. These codes are a private benefit for your use only and sharing them violates both our policy and the terms of our partners.

Technical Requirements & Participant Responsibility

You are solely responsible for ensuring you have the necessary equipment and internet connectivity to participate in events. Specifically, you must provide:

A computer or device capable of streaming video content
Stable, high-speed internet connection adequate for video streaming
Updated web browser and any required software or applications
Valid email address for registration and communications
Appropriate audio/video equipment if participating in interactive sessions

Technical Liability: Playroom Chronicles is NOT responsible for:

Your internet service provider’s performance, outages, or connectivity issues
Failures of your personal equipment, computer, or devices
Compatibility issues with your hardware or software
Interruptions due to power outages or technical problems on your end
Loss of access due to your failure to maintain adequate internet service
Any costs you incur to meet technical requirements

You acknowledge that technical difficulties on your end do not entitle you to a refund, credit, or compensation. We recommend testing your connection and equipment before the event begins.

Event Cancellation, Modification & Force Majeure

Our Right to Modify: We reserve the right to:

Change event dates, times, or schedule
Substitute speakers or modify content
Alter the format or delivery method of the event
Cancel individual sessions or the entire event if necessary

Force Majeure: Playroom Chronicles shall not be liable for any failure or delay in performance due to circumstances beyond our reasonable control, including but not limited to: acts of God, natural disasters, pandemic, government restrictions, war, terrorism, labor disputes, internet service disruptions, or technical failures beyond our control.

In Case of Cancellation: If we must cancel an event entirely, we will offer either:

Rescheduling to a future date, or
A credit toward a future event, or
A refund of your registration fee (paid pass holders only)

Complimentary pass holders are not entitled to compensation for event cancellation or modification. Minor changes to schedule, speakers, or content do not constitute grounds for refund.

Communications & Email Consent

By registering for an event, you consent to receive:

Event-related emails including schedules, access links, and reminders
Technical updates and important announcements about the event
Post-event communications including surveys and access to recordings
Marketing communications about future events and offerings (you may opt-out of marketing emails at any time)

You are responsible for maintaining a valid email address and checking your email regularly for event updates. We are not responsible if you miss event information due to email issues on your end, spam filters, or failure to check your email.

Intellectual Property & Content Usage

All event content, including presentations, materials, templates, and resources, remains the exclusive property of Playroom Chronicles and/or individual speakers. Your registration grants you a personal, non-transferable, non-commercial license to access and use the content for your individual purposes only.

No reproduction, derivative works, or commercial use is permitted without written consent from Playroom Chronicles. Unauthorized use of our intellectual property may result in civil and criminal penalties.

Privacy & Confidentiality

We respect your privacy and that of all participants. By joining:

You agree to maintain confidentiality of other participants’ shared information
You understand that your participation may be included in future event materials
You agree not to share other participants’ personal information without their express consent
You agree to our Privacy Policy regarding how we collect and use your information

Community Guidelines

To maintain a supportive environment, you must:

Respect all community members and facilitators
Respect all event attendees
Follow posted guidelines in discussion groups and event chats
Maintain professional conduct during all interactions
Contribute constructively to discussions
Refrain from harassment, discrimination, or inappropriate behavior

Access to event communities requires respectful participation. We reserve the right to remove anyone who violates event standards and policies without refund.

Registration Transfer & Substitution

Registrations are non-transferable. You may not transfer, assign, or sell your registration to another person without our express written consent. If you are unable to attend, contact us at superhero@playroomchronicles.com to discuss your options.

Important Disclaimers

Educational Purpose: Our events provide educational resources and strategies. Your results depend on your individual efforts and circumstances. The information provided is for educational purposes only and should not be considered professional advice specific to your situation.

No Guarantees: We make no guarantees about specific outcomes from implementing event strategies. Past participant successes don’t ensure similar results for others. Your success depends on numerous factors including your effort, market conditions, and individual circumstances.

Technical Considerations: While we strive for smooth technical delivery, we cannot guarantee uninterrupted access or technical perfection. Event content is provided “as is” without warranties of any kind, express or implied.

Not Professional Advice: Event content is educational in nature and does not constitute professional advice. You should consult qualified professionals for advice specific to your situation.

Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW: Playroom Chronicles, its owners, employees, speakers, sponsors, and affiliates are not liable for any direct, indirect, incidental, consequential, special, or punitive damages arising from:

Your participation in or inability to participate in the event
Any technical difficulties or interruptions
Use or inability to use event materials or content
Any errors or omissions in event content
Actions you take based on information provided at the event
Loss of data, profits, or business opportunities
Any other matter relating to the event

You participate at your own discretion and assume full responsibility for applying any strategies or advice shared. Your sole remedy for dissatisfaction with the event is to stop participating.

Indemnification

You agree to indemnify, defend, and hold harmless Playroom Chronicles, its owners, employees, speakers, sponsors, and affiliates from any claims, damages, losses, liabilities, and expenses (including reasonable attorneys’ fees) arising from:

Your violation of this Event Policy
Your violation of any rights of another person or entity
Your unauthorized use or sharing of event content
Any false or misleading information you provide
Your actions or conduct during or related to the event

Legal Compliance & Dispute Resolution

Governing Law: These policies are governed by the laws of the Commonwealth of Massachusetts, without regard to conflict of law provisions.

Arbitration: Any disputes arising from this agreement shall be resolved through individual arbitration in Dedham, Massachusetts, in accordance with the rules of the American Arbitration Association. You waive any right to a jury trial or to participate in a class action.

Severability: If any provision of this Event Policy is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that the remainder of this policy shall remain in full force and effect.

Terms Updates & Enforcement

We reserve the right to:

Update these policies as needed (we will notify you of material changes)
Remove participants who violate guidelines without refund
Monitor for unauthorized use of event content
Take legal action to protect our intellectual property
Interpret and enforce these policies at our sole discretion

Your continued participation after policy updates constitutes acceptance of the modified terms.
